Team : Account Owner Training
This is training for the Account Owner or Team Leader.

In this video we're going to discuss the special things an Account Owner can do, or also known as the Team Leader, that nobody else can do on the team. Actually if you have an Administrator set up here like we have Mike set up, Mike can do just about everything that Joe can do.

The first thing we're going to look at is the Settings for the Account Owner. You'll see the Settings here. The Account Owner has a lot of Settings to choose from. Now if we compare that with what the Settings a Power User has Or Team Players or Independent Users have, you'll see here that the Account Owner has more Settings and is in charge of more aspects of the system.

When the Power User logs in, they're just going to see these limited Settings and when the Team Player or Independent User logs in, they're going to see even fewer Settings.

One of the areas the Team Leader is responsible for is these General Settings, so Category, Category 2, Custom Fields, Flags, Sources and Deal Types. Now, these are system-wide so the Owner is going to set these for everyone on the team. Everyone on the team will use the same Categories, the same Flags, the same Sources, et cetera.

Now let's look at the Automatic Systems, the Audio Messages, Autoresponders, Birthday Assistant, To-Do Plans and Landing Pages. These will be set up by the Account Owner and will apply to the Account Owner, the Administrator and any of the Team Players or Independent Users. They will all be sharing the same Automatic Systems.

Now if you have Power Users on your team, they will have their own Automatic Systems where they can configure them and have access to those.

Let's take another look at what each Team Member will have access to under Settings, and this might be a good time to pause the recording and compare this to how you might be thinking about setting up your team.

One of the nice things about being the Account Owner is you get to manage this whole team. So if I go up here and click on this email address, which is the Account Owner's email, you'll get to see the whole team and the Team Leader can log in as any of these users. So if the Team Leader wants to go see what Kevin King is up to, these are Kevin's Contacts, these are Kevin's To-Dos, Kevin's Calendar Events, Deals and everything along the line.

This is as if Kevin were to log in, so the system doesn't know the difference if the Owner is in here or if Kevin is in here. Just like the Account Owner did that, he or she can log into anybody's account and see what they're doing.

The Account Owner or Team Leader is also responsible for adding and editing team members, so if I go to Settings and Account Settings and Team Settings, from right here I can Add a Team Member and fill in the information and set up my team here, or I can Edit a Team Member. If I want to, say, change Kevin's email address, I can go in here and change that. There's also some other Settings that can be changed. So basically here is where I set up and edit my team. Now the Account Owner can do this, or any of the Administrators can also do this.

There are some other things that just the Account Owner and the Administrators can do, is they can decide who is Sharing Templates, so Email Templates and Letter Templates. You can have different team members sharing templates. You can share your own templates with team members. You can reassign contacts, so you could take contacts from one database and put it in another. You can look at all your team members' Calendars. Just go to Calendar here and you can look at any of them by clicking on the right name.

There is one thing that an Account Owner can do that the Admin can't do, and that is to change the billing and subscription options. So if I go to Settings and I go to Account Settings and you see this Billing and Plan tab right here, the Admins will not have this tab, so everything else is the same except they will not be able to go here into Billing and Plan and see what's happening with the account.

One more thing you should keep in mind when you're setting up your team, you can set it up any way you'd like to. You can have as many Administrators, as many Power Users, Team Players, however you'd like to do that, but once you set it up it is not an easy process to convert one team member type to another. So if later on you find out you want Kevin to be a Team Player, it can be done but it's not easy. You have to Delete Kevin, all of Kevin's contacts, revert back to the Owner, then you add him back as a Team Player and then give him his contacts back, so it's not an easy process. It's better to set it up right the first time if at all possible.
